Retreat Booking and Cancellations Terms and Conditions 

1. Booking Confirmation and Payment:

1.1 Reservation: To secure your place on the retreat, a £100 non-refundable deposit is required at the time of booking. Fees are 650 for the June Retreat or Early Bird reduction to £600. (payment to be made in full at the time of booking ) 

1.2 Full Payment: The remaining balance of the retreat fee is due 8 weeks prior to the retreat start date. Failure to make full payment by this date may result in the cancellation of your booking and forfeiture of your deposit. 

1.3 Booking Confirmation: Your booking is confirmed upon receipt of your deposit or full payment (as applicable) and a confirmation email from  MindTopia Counselling and Psyhotherapy. 

1.4 Payment Methods: We accept  Bank Transfer or Card Payment  
 

2. Cancellations by the Participant:

2.1 Cancellation Notice: All cancellations must be submitted in writing (via email) to Mindtopiacounselling@gmail.com 

2.2 Cancellation Fees:  

If you cancel 8 weeks or more prior to the retreat start date, your deposit will be forfeited, and 75% of any remaining balance paid will be refunded. 

If you cancel up to 4 weeks before the retreat start date,50 % of the total retreat fee will be forfeited. 

If you cancel less than 28 days prior to the retreat start date, or fail to attend the retreat, the full retreat fee is non-refundable. 

2.3 Transferring Bookings: In some circumstances, and subject to availability, we may allow you to transfer your booking to another person. This is at the discretion of  MindTopia  and may incur an administrative fee of  £50.00]. The new participant must agree to these terms and conditions. 

2.4 Early Departure: No refunds or credits will be given for early departure from the retreat. 

3. Cancellations by the Retreat Organizer:

3.1 Minimum Numbers: We reserve the right to cancel the retreat if the minimum number of participants is not reached. In this case, you will receive a full refund of all payments made. 

3.2 Force Majeure: We reserve the right to cancel or modify the retreat due to unforeseen circumstances beyond our control, including but not limited to natural disasters, political instability, or illness of the retreat leader (Force Majeure). In such cases, we will offer either a full refund or the option to transfer your booking to a future retreat. 

3.3 Changes to Itinerary: We reserve the right to make minor changes to the retreat itinerary, including changes to accommodation or activities, as necessary. We will endeavor to notify participants of any significant changes as soon as possible.

4. Travel and Insurance:

4.1 Travel Arrangements: Participants are responsible for making their own travel arrangements to and from the retreat location. 

4.2 Travel Insurance: We strongly recommend that all participants purchase comprehensive travel insurance that includes coverage for trip cancellation, medical expenses, and personal liability. 

4.3 Visa Requirements: It is the participant’s responsibility to ensure they have the correct visa and travel documentation for the retreat location. 
 

5. Health and Safety:

5.1 Medical Conditions: Participants are responsible for informing us of any pre-existing medical conditions or dietary requirements at the time of booking. 

5.2 Participation: Participants are responsible for their own health and safety during the retreat. We are not liable for any injuries or illnesses sustained during the retreat. 

5.3 Liability Waiver: All participants may be required to sign a liability waiver prior to the commencement of the retreat. 

6. Conduct:

6.1 Respectful Behavior: Participants are expected to behave in a respectful and considerate manner towards other participants, retreat leaders, and staff. 

6.2  Disruptive Behavior: We reserve the right to ask any participant to leave the retreat if their behavior is deemed disruptive or inappropriate. No refunds will be given. 

7. Photography and Media: 

7.1 Consent: Participants may be photographed or filmed during the retreat. By participating, you consent to the use of these images or videos for promotional purposes, unless you specifically notify us in writing otherwise.

8. Governing Law:

8.1 Jurisdiction: These terms and conditions are governed by the laws of the United Kingdom. Any disputes arising from these terms and conditions shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.

10. Amendments:
